Terms and Conditions

These General Terms and Conditions ("Terms") govern all rentals and services provided by Iceland Bike Rental ehf. ("we", "us", "the Company") through the website icebikerental.is and related services. By making a booking, you ("the Renter") agree to be bound by these Terms.

2. Rental Requirements

2.1 Age and Licensing

The Renter must be at least 25 years of age and hold a valid motorcycle license appropriate for the KTM 390 Adventure R (399cc). Holders of EU/EEA driving licenses may ride directly. Non-EU/EEA license holders must carry a valid International Driving Permit (IDP) alongside their original license.

2.2 Identification

A valid passport or national ID and a valid motorcycle license must be presented at pickup. Failure to provide valid documentation will result in cancellation of the rental without refund.


3. Booking and Payment

3.1 Booking Confirmation

A booking is confirmed once the Renter receives a written confirmation by email. All prices listed on the website include VAT (24%) where applicable.

3.2 Payment Terms

Full payment is required prior to or at the time of pickup unless otherwise agreed in writing. Accepted payment methods are specified during the booking process.

3.3 Deposit

A security deposit is required at the time of pickup. The deposit amount will be specified in the booking confirmation. The deposit is refunded upon return of the motorcycle in satisfactory condition, subject to deductions for any damage beyond normal wear (see Section 6).


4. Pickup and Return

4.1 Pickup

Motorcycles are available for pickup on Mondays and Fridays, at a time agreed upon in the booking confirmation. Pickup location is in the Reykjavík capital area; the exact address will be confirmed prior to the rental start date. Airport pickup can be arranged upon request.

4.2 Minimum and Maximum Rental Period

The minimum rental period is 3 days. The maximum rental period is 14 days.

4.3 Return

Motorcycles must be returned on Wednesdays or Sundays, by the time specified in the booking confirmation. Late returns may incur additional daily charges at the standard daily rate. The motorcycle must be returned with a full fuel tank, in the same condition as at pickup, allowing for normal wear.

4.4 Delivery Time

Pickup and return are subject to pre-arranged scheduling. We will confirm the specific time and location by email no later than 48 hours before the rental start date. If we are unable to provide the motorcycle at the agreed time due to circumstances within our control, the Renter is entitled to a full refund or rebooking at no additional cost.


5. Cancellation and Refund Policy

5.1 Cancellation by the Renter

  • Within 48 hours of booking: Full refund.
  • More than 7 days before the rental start date: Two-thirds (2/3) refund of the total rental amount.
  • 7 days or fewer before the rental start date: No refund.

5.2 Cancellation by the Company

If we cancel a booking for any reason, the Renter will receive a full refund of all amounts paid. We are not liable for additional costs incurred by the Renter (e.g. flights, accommodation).

5.3 Refund Processing

Refunds will be processed using the same payment method as the original payment within 14 business days of the cancellation request.


6. Motorcycle Condition and Damage

6.1 Condition at Pickup

Both parties will inspect the motorcycle at pickup and document its condition. The Renter acknowledges the condition of the motorcycle by signing the rental agreement.

6.2 Normal Wear

Minor scratches, dust, and general wear consistent with adventure riding on Icelandic terrain are considered normal wear and will not be charged against the deposit.

6.3 Damage

The Renter is responsible for any damage to the motorcycle beyond normal wear during the rental period. Damage includes but is not limited to: broken or bent parts requiring replacement, damage to the frame or engine, punctured or destroyed tires, and damage to luggage systems or accessories. Repair or replacement costs will be deducted from the security deposit. If costs exceed the deposit, the Renter is liable for the remaining amount.

6.4 Theft and Total Loss

In the event of theft or total loss, the Renter is liable up to the full value of the motorcycle, minus any applicable insurance coverage.


7. Insurance

7.1 Third-Party Liability

All rentals include mandatory third-party liability insurance as required by Icelandic law.

7.2 Renter's Risk

The Renter bears the risk of damage to the rented motorcycle, personal injury, and damage to the Renter's own property unless covered by additional insurance arranged by the Renter independently.


8. Renter's Obligations

The Renter shall:

  • Operate the motorcycle in a safe and lawful manner in accordance with Icelandic traffic laws.
  • Not ride under the influence of alcohol, drugs, or any impairing substances.
  • Not allow any unauthorized person to operate the motorcycle.
  • Not ride outside of marked roads or trails unless expressly permitted by Icelandic law and road conditions.
  • Monitor weather forecasts (en.vedur.is) and road conditions (road.is) throughout the rental period.
  • Immediately report any accident, theft, damage, or mechanical failure to the Company.
  • Return the motorcycle with a full fuel tank.

9. Limitation of Liability

The Company provides the motorcycle in good working condition but makes no guarantees regarding weather, road conditions, or trail accessibility. The Company is not liable for delays, injuries, losses, or damages arising from the Renter's use of the motorcycle, force majeure, weather conditions, or road closures. The Company's maximum liability shall not exceed the total rental amount paid.


10. Amendments

We reserve the right to amend these Terms at any time. Updated Terms will be published on our website. Changes do not apply retroactively to existing confirmed bookings.


11. Governing Law and Jurisdiction

These Terms are governed by and construed in accordance with the laws of Iceland. Any disputes arising out of or in connection with these Terms or any rental agreement shall be subject to the exclusive jurisdiction of the District Court of Reykjavík (Héraðsdómur Reykjavíkur).
